Set Up Webinar Reminder Campaigns in KlickTipp

Learn how to easily set up campaigns for webinar reminders in KlickTipp. You’ll discover how to work with variable dates to ensure participants receive the correct reminders. The campaigns rely on the timestamp provided by your webinar provider.

Prerecorded webinars allow participants to register at various times. To ensure your attendees receive their reminder emails on time, it is important to set the right dates for sending them. You’ll need the timestamp provided by your webinar provider. If this applies, you can use our campaign template for webinars.

The campaign includes two individual campaigns, A01 and A02. Please load them into your KlickTipp account via the provided links to start using them.

Good to Know

The campaign template includes two interconnected campaigns:

Webinar Reminder A01 and Webinar Reminder A02.

The second campaign is triggered when the first campaign assigns the corresponding tag.

Step-by-Step Instructions

Campaign: Webinar Reminder A01

  • The start condition of → Campaign A01  stipulates that the → Webinar date and time  field must be filled.
  • This is followed by three actions that affect the field contents of the contact:
    • Copying the webinar date to the → Webinar auxiliary date  field
    • Emptying the original date field and a counter that counts the number of registrations for a contact
    • After checking the number of runs, the → Webinar reminder A02  campaign is started immediately if the counter shows = 1.
  • After checking the number of runs, the → Webinar reminder A02  campaign is started immediately if the counter displays = 1. The first time the campaign is run, the contact is immediately transferred to the follow-up campaign. It then goes to the “Restart” action. They remain there until the start condition is met again because they register for the webinar again.
  • If the contact has already registered repeatedly without having attended the webinar (max. 5 runs possible), the campaign is ended. The follow-up campaign → Webinar reminder A02  is first stopped. This is followed by a waiting period of one hour. The contact then returns to the → Webinar reminder A02  campaign.

Campaign: Webinar Reminder A02

  • The start condition of the campaign requests a tag. This is assigned and withdrawn via the campaign → Webinar reminder A01.
  • This is followed by several queries with “If...Else...” actions to check the time until the webinar. Any time intervals can be selected here. The campaign template contains 3 checks with the corresponding “Wait” actions and emails.
  • Finally, the content of the → Webinar Auxiliary Date  field is deleted. The value from the → Webinar Counter  field is copied to the → Webinar Counter History  field. The content of the → Webinar Counter  field is then deleted. This means the contact can attend the webinar as often as they like.
  • At the end of the campaign, the “Restart” action is set. This allows the campaign to be restarted and sent multiple times if the tag has been reassigned.
